By using this website, placing an order, or booking a consultation, you acknowledge that you have read, understood, and agreed to be bound by these Terms and Conditions. If you do not agree to these terms, you must not proceed with booking or accessing our Services.
1. Definitions & Interpretation
- Conditions: These Terms & Conditions, including any special conditions noted at booking.
- Services: In-room private General Practice consultations, prescriptions, pathology/laboratory testing, and referral services provided by us.

- You / Patient: Any individual accessing the Website, booking an appointment, or receiving our Services.
2. Scope of Service & Emergency Disclaimer
- Non-Emergency Care: London Hotel Doctor provides non-emergency, in-room private GP services. For acute, life-threatening emergencies (e.g., chest pain, severe shortness of breath, stroke symptoms, loss of consciousness), you must immediately call 999 or present to the nearest NHS Accident & Emergency (A&E) department.
- Controlled Substances: We strictly do not prescribe controlled drugs, high-risk narcotics, or addictive substances.
- Right to Refuse Care: Clinicians reserve the right to decline or immediately terminate a consultation without a refund if a patient exhibits abusive, aggressive, or intoxicated behaviour, or if the room environment presents a safety risk.
3. Bookings & Payments
- Agreement Upon Booking: By completing an online or phone booking, you formally accept these Conditions in full.
- Consultation Fee: The total fee for a hotel room consultation is £400. Full payment is taken at the time of booking via credit/debit card, Apple Pay, Google Pay, or Onelink.
- Order Acceptance: We reserve the right to decline or cancel a booking due to doctor unavailability, pricing/description errors, or payment authorisation failures.
4. Cancellations, Rescheduling & Refunds
- Notice Period (24+ Hours): Cancellations or modification requests submitted more than 24 hours prior to the scheduled appointment time are eligible for a full refund or free rescheduling.
- Short Notice (Under 24 Hours): Cancellations or modification requests made within 24 hours of the scheduled appointment time are non-refundable. We will make reasonable efforts to reschedule your booking, subject to clinician availability.
- Doctor En-Route: If a doctor is already en route to your location at the time of cancellation, the consultation fee remains fully payable regardless of the initial booking time.
5. Test Samples, Laboratory Results & Disclaimers
- Estimated Timescales: Turnaround times provided for diagnostic laboratory tests (e.g., “results in 24–48 hours”) are estimates based on standard processing.
- Third-Party Delays: On rare occasions, results may be delayed due to courier logistics, laboratory re-runs, or unforeseen technical issues outside our direct control. Refunds are not provided for minor external processing delays.
- Medication Costs: The consultation fee covers prescription issuance (where medically appropriate). The physical cost of medication and pharmacy fulfilment fees are charged separately by the dispensing pharmacy.
6. Patient Registration & Confidentiality
- Accuracy of Information: You warrant that all personal and medical information provided during booking or consultation is accurate, current, and complete. We are not liable for adverse clinical outcomes resulting from withheld or inaccurate medical details.
- Data Processing & Sharing: Information collected is stored securely in our clinical systems. Where clinically necessary, data may be shared with healthcare partners (e.g., blood testing laboratories or specialist referral centers). We do not sell personal data to third parties.
- Public Health Mandates: Where mandatory under UK law, certain diagnostic test results and personal identifiers may be transmitted to statutory public health bodies (e.g., UK Health Security Agency).
7. Limitation of Liability & Indemnity
- Financial Cap: Our total liability for non-clinical, contractual disputes or service disruptions arising out of or in connection with the Services shall be strictly capped at the total consultation fee paid.
- Exclusion of Indirect Losses: To the fullest extent permitted by law, London Hotel Doctor shall not be liable for indirect, special, or consequential losses, including missed flights, hotel rebooking fees, travel delays, or lost business opportunities.
- Negligence: Nothing in these Conditions excludes or limits liability for death or personal injury resulting from clinical negligence, fraud, or any liability that cannot be excluded under English law.
- Indemnity: You agree to indemnify and hold harmless London Hotel Doctor from any claims, losses, or legal expenses arising from your breach of these Conditions or misuse of the Website.
8. Complaints Procedure
- Acknowledgement: Complaints should be sent in writing to [email protected]. We acknowledge all formal complaints within 7 working days of receipt.
- Resolution: A formal investigation and definitive written response will be provided within 28 working days of receipt.
9. Chaperone Policy & Hotel Discretion
Right to a Chaperone: In accordance with GMC guidelines, you have the right to request a formal clinical chaperone for any part of your consultation or examination. Where possible, please request a chaperone at the time of booking.
Chaperone Availability: If an intimate examination is clinically required or requested and a suitable chaperone is not available, the consultation or examination may need to be postponed, rearranged, or cancelled. In such instances, we will work with you to reschedule at the earliest opportunity.
Hotel Staff Discretion: We maintain strict professional confidentiality. Hotel staff and concierges are not provided with information regarding the nature of your clinical consultation.
10. Website Security, Technical Disclaimers & Intellectual Property
- Intellectual Property: All copyright, trademarks, design rights, and intellectual property on our Website belong strictly to London Hotel Doctor or its licensors. Content is provided for personal, non-commercial use only.
- Service Continuity: While we endeavor to ensure reliable access, we do not warrant that the Website will be uninterrupted, timely, error-free, or completely secure.
- Viruses & Digital Security: We deploy standard security measures to protect our site, but we cannot guarantee that our Website, server, downloadable files, or electronic communications are free of viruses, Trojans, worms, or other harmful digital code. You are responsible for implementing sufficient procedures and virus checks (including anti-virus software) to satisfy your particular safety requirements for data input and output.
- Email & Electronic Communication Disclaimer: Electronic mail is not a 100% secure medium. While we take reasonable technical precautions, we accept no liability for any loss or damage caused by computer viruses transmitted via email, unauthorized interception of messages, or technical delivery failures beyond our control. 11. Governing Law & Jurisdiction
- These Conditions are governed by and construed in accordance with the laws of England and Wales. You irrevocably agree that the courts of England shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with these terms.
